Job Purpose: To provide operational and administrative assistance to the maintenance and office teams
Hours: 2.5 days/20 hours days per week (timings negotiable, but must include Friday mornings)
Salary: Depending on experience pro rata to hours worked to £18,000 – £20,000 full time equivalent
Contract: Permanent
Reporting to: The Project Director

Responsibilities:

Provisioning and Procurement:
• In liaison with the Project Secretary, determine the provisioning requirements for voyages and onshore activities including refit programmes – ensuring that all dietary and allergy requirements are taken into account
• Procure food and household/domestic items in a timely manner in accordance with voyage and onshore activities including refit programme
• Oversee provisioning for voyages in accordance with crew number lists and dietary requirements
• Ensure sufficient supplies are readily available of household/domestic items, medical kits and crew clothing for the fleet and the office as appropriate
• Effective management of food and non-food stores shore-side
• Support the Project Engineer and Project Shipwright in procuring equipment, material and tools in accordance with the Project’s financial delegation of authority

Admin:
• File and maintain relevant financial records in accordance with purchases made
• Keep up to date excellent records of essential maintenance and vessel certification lists under the direction of the Project Director and Project Engineer
• Ensure that voyage document files on each vessel are complete and restocked as necessary before every voyage
• Assist the maintenance team with the organisation and planning during vessel refit periods
• Assist with general office administration tasks including dealing with the public
• Develop and manage a library of resources for use in fundraising, reporting and publicity including case studies, testimonials and social media stories

Communications:
• Assist the Project Director to develop and implement a digital engagement strategy
• Assist in managing appropriate social media communications with trainees, supporters, volunteers and interested third parties.
• Assist in the management of the website and social media to provide up to date and correct information

Person Specification:
• Experience in an office environment including excellent IT skills with knowledge of Word, Excel, Power Point, databases and WordPress
• Excellent organisational, planning and communication skills
• Relevant experience of menu planning and or provisioning is desirable
• Experience of using social media platforms as a communications channel
• An interest in sailing or sail training is desirable

Flexibility and initiative are key requirement of this role. All members of the small staff team have a collective responsibility to ensure that the Rona Sailing Project runs smoothly and effectively. As such the successful candidate will be flexible and needs to be depended upon to assist with the successful day to day running of the Project.
